Vendor payment approvals and project-wise expense ledger
The challenge
An NGO running many funded projects at once handled vendor invoices and approvals manually. Expenses were sometimes booked under the wrong project or heading, and funders set a spending limit for each heading, so project-wise figures were hard to trust.
What we built
Approval workflow: the front desk enters the invoice, a director approves it (with instructions if needed), the accountant records the payment, a director approves the payment, and the front desk is notified
Cheque tracking: the accountant records the date the vendor’s cheque is cleared by the bank, which closes the entry
Nested account code generator: Objective → Program → Project → Group Ledger → Sub Group → Ledger, where each expense is finally booked
Project-wise expense reports by heading, to check spending against each funder’s limits
Separate roles and access rights for the front desk, directors and accountants
Every payment has a clear approval trail, and every rupee is booked to the right project and heading.
